Privacy Policy
How We Process Personal Data
This privacy policy describes how personal data from customers and visitors to Arctic Umiaq Line A/S’s website is collected and processed by Arctic Umiaq Line, as the data controller for our sales and marketing activities.
The privacy policy is available in Danish, English, and Greenlandic. In case of discrepancies, the Danish version prevails.
General Processing of Personal Data
Arctic Umiaq Line processes the information customers provide to us, e.g., when booking a trip on our website or contacting customer service. This includes name, contact information (including email address and phone number), travel dates and times, inquiry details, and other information necessary to manage the trip. We also use data for invoicing, payment, bookkeeping, card usage, and administrative purposes such as complaints.
The legal basis for this processing is your consent and our need to fulfill our agreement with you, including providing the services, information, and offers you have selected.
We only process sensitive personal data, such as health information, when necessary to complete a trip.
Note: Withdrawal of consent does not affect the legality of processing based on consent before its withdrawal.
Processing Personal Data for Marketing
We may process personal data for marketing if we have received consent or if processing is based on a legitimate interest (GDPR Article 6(1)(a) and (f)). Consent can always be withdrawn by contacting Arctic Umiaq Line customer service at tel. (+299) 34 91 90 or email: info@aul.gl.
If we have consent to send marketing via electronic messages such as email, SMS, and social media notifications or messages, we register and process the necessary data, including the name and contact information of the person giving consent.
When we send marketing messages, we record whether the message is opened and which offers or campaigns are interacted with. The legal basis is our legitimate interest in monitoring and targeting our marketing (GDPR Article 6(1)(f)).
If someone consents to us using custom audiences on platforms like Facebook and Instagram, it means we can process that person’s data to show marketing in their news feed. We may also use the data to find others who might be interested in our marketing.
If we do not have consent to use custom audiences, we may still use personal data if we can justify it based on legitimate interest (GDPR Article 6(1)(f) and the Danish Data Protection Act § 13(2), cf. § 13(4)).
When a person uses Arctic Umiaq Line’s website, we use cookies to record behavior—such as which trips, offers, or campaigns are viewed, searches made, filters used, and geographic location. We also log IP addresses, operating system, device, and browser data. This helps us improve the site and target marketing using profiles and audience segments—for instance, through banners and our website. The legal basis is our legitimate interest in targeted marketing (GDPR Article 6(1)(f)).
We retain the above personal data only as long as needed for marketing purposes and to document our processing. Behavioral data from cookies is typically deleted after 14 days to 1 year, depending on the cookie type and purpose.
If someone withdraws consent for receiving marketing, we will no longer process their data for direct electronic marketing. However, we may still use their data for targeted marketing through banner ads and our website or custom audiences on social media, as long as we can justify it under legitimate interest, unless the person exercises their right to object (GDPR Article 21(4)).
If we receive such an objection, we will stop processing immediately and delete data not needed for legal documentation.
We will not delete data necessary to document that consent was given for direct marketing under the Danish Marketing Act § 10(1), until two years after the last use of the consent.
Disclosure
In connection with travel, Arctic Umiaq Line processes and shares personal data in accordance with industry standards for flight and travel reservation information, called “Passenger Name Record” (PNR). This includes name, address, contact information, requested services, and travel information for the individual or group.
External vendors working for us may access personal data but are only allowed to use it for tasks assigned by us. This includes companies that help with IT support, customer service, email marketing, and targeted advertising (including retargeting). These vendors are data processors, work under our instruction, and must sign data processing agreements. They are bound by confidentiality and cannot use the data for their own purposes.
Storage
Arctic Umiaq Line retains customer data only as long as necessary for processing purposes and to comply with legal and regulatory requirements.
If a customer has booked a trip, their personal data is stored for the current year + five years after the trip ends. This is to meet legal requirements and for potential complaint processing.
Your Rights
Individuals have the right to request access, correction, deletion, or restriction of the processing of their personal data, or to object to processing. They also have the right to data portability.
If a person validly objects to our processing, we must stop processing their data.
To exercise these rights, please contact us at: info@aul.gl
Individuals also have the right to complain to the Danish Data Protection Agency regarding the processing of their personal data.
